Konexit Sync does not allow users to create an account directly within the app. User accounts are provided or managed separately, for example by Konexit Fleet Ltd, an employer, fleet operator or another authorised organisation.

The app may process the following information.

Location

Konexit Sync may request permission to access your device’s location.

If you grant location permission, the app may use your location to:

  • show your current position on a map; and
  • calculate directions or a route from your location to a vehicle.

When you use these features, your location may be sent securely to our platform so that the requested route or directions can be calculated.

We do not use your device location for advertising.

You can control or withdraw location permission at any time through your device settings. Some location-based features may not work if permission is disabled.

Push Notifications

Konexit Sync may use push notifications to send you service-related alerts and information.

To provide push notifications, we may store a device or push notification token associated with the installation of the app. This token allows the notification service to identify the device to which a notification should be sent.

Push notification tokens are used for delivering notifications and are not used by us for advertising.

You can control notification permissions through your device settings.

App Analytics

We use Google Firebase to help us understand how the app is used and to monitor its performance.

Depending on the Firebase services enabled within the app, information processed may include:

  • Device type
  • Operating system
  • App version
  • General app usage and interaction information
  • Technical identifiers
  • Diagnostic and performance information

We use this information to maintain, troubleshoot and improve the app.

Crash Reporting

We use Sentry to identify and investigate errors and crashes in our mobile applications.

Crash and diagnostic reports may contain:

  • Device information
  • Operating system information
  • App version
  • Technical error information
  • Crash logs
  • Information about the state of the application when an error occurred

This information is used to identify technical problems, improve reliability and maintain the security and performance of our services.

Maps and Street View

Konexit Sync may use mapping and location services supplied by:

  • Mapbox
  • Google, including Google Street View

When you use map, routing or Street View features, technical information and location-related information may be processed by these providers as necessary to provide the requested map or imagery.

The information processed by these third-party services is also subject to their own privacy policies and terms.

6. Legal Basis for Processing

Under UK GDPR, we rely on one or more of the following legal bases when processing personal data:

Contractual necessity

We process information where this is necessary to provide services requested by our customers or users and to fulfil our contractual obligations.

Legitimate interests

We may process information where this is necessary for our legitimate business interests, including:

  • Operating and improving our services
  • Maintaining system and application security
  • Preventing fraud and misuse
  • Diagnosing technical problems

We consider the interests and rights of individuals before relying on legitimate interests.

Consent

Where required, we rely on your consent.

For example, mobile operating systems may ask you to give permission before Konexit Sync can access your device’s location or send notifications.

You may withdraw device permissions at any time through your device settings. Withdrawing permission will not affect processing that took place lawfully before permission was withdrawn.

7. How We Share Your Information

We may share or allow access to personal data where necessary to operate our services.

Recipients may include:

  • Hosting and cloud infrastructure providers
  • Hardware and software suppliers
  • IT and technical support providers
  • Payment processors
  • Google, including services used for Firebase, mapping and Street View

We do not sell your personal data to third parties.

We do not share personal data with third parties for their own advertising purposes unless we have specifically informed you and have a lawful basis for doing so.

8. International Data Transfers

Some of the technology providers we use may process information outside the United Kingdom.

Where personal data is transferred internationally, we take steps designed to ensure that appropriate safeguards are in place in accordance with UK data protection law.

These safeguards may include:

  • UK adequacy regulations
  • The UK International Data Transfer Agreement
  • The UK Addendum to approved Standard Contractual Clauses
  • Other legally recognised transfer safeguards

9. Data Retention

We retain personal data only for as long as it is reasonably necessary for the purpose for which it was collected, including providing our services, maintaining security and complying with legal, accounting and regulatory obligations.

The exact retention period may depend on the type of information and the services being provided.

In particular:

  • Account information is normally retained while the relevant customer account or service remains active and for an appropriate period afterwards where required for legal, contractual, security or administrative purposes.
  • Vehicle tracking and journey information may be retained according to the services purchased and the retention settings agreed with the relevant customer.
  • Dashcam recordings may be retained for different periods depending on device storage, customer configuration, incident requirements and applicable legal requirements.
  • Uploaded documents and photographs may be retained while required for the customer’s use of the relevant service and according to the customer’s configuration.
  • Push notification tokens are retained while needed to deliver notifications to an active installation and may be removed when they are no longer valid or the associated service or account is deleted.
  • Analytics, diagnostic and crash information is retained only for as long as reasonably necessary to analyse app performance, investigate technical issues, maintain security and improve our services, subject to the retention settings of the relevant technology provider.
  • Customer support and business records may be retained where necessary to maintain a record of enquiries, fulfil our contractual obligations or meet legal requirements.

Where we no longer need personal information, we will delete it, anonymise it or otherwise securely dispose of it, unless we are required to retain it by law.

10. Account and Data Deletion

Konexit Sync does not allow users to create an account directly within the app. User accounts are provided or managed separately, for example by Konexit Fleet Ltd, an employer, fleet operator or another authorised organisation.

Users may request deletion of their Konexit account and associated personal data through our account deletion page:

Alternatively, users can contact:

support@konexit.co.uk

When contacting us by email, please use the subject “Account Deletion Request” and provide enough information for us to identify the relevant account.

We may take reasonable steps to verify that the person making the request is authorised to request deletion of the account.

What happens when an account is deleted

Where applicable, we will delete or anonymise personal data associated with the account where we are not required or permitted to retain it.

This may include:

  • Account and profile information
  • Login and authentication information
  • Information associated with use of Konexit Sync
  • Location information associated with the account
  • Task and activity information
  • Uploaded documents or photographs
  • Push notification tokens
  • Other personal data associated with the account

Some information may need to be retained where this is necessary for:

  • Compliance with legal, tax, accounting or regulatory obligations
  • Fraud prevention and security
  • Resolving disputes
  • Establishing, exercising or defending legal claims
  • Maintaining records that we are legally required to keep

Where information must be retained, we will restrict its use to the purpose for which retention is required and delete or anonymise it when that requirement ends.

Some analytics or diagnostic information may already have been aggregated or anonymised so that it can no longer reasonably be linked to an individual account.

If a Konexit account is provided or managed by an employer, fleet operator or another organisation, that organisation may also control some of the information associated with the account. In those circumstances, we may need to work with that organisation when processing the deletion request.

11. Data Security

We use appropriate technical and organisational measures designed to protect personal data against accidental or unlawful loss, misuse, alteration, unauthorised access or disclosure.

Measures may include:

  • Encryption of sensitive information where appropriate
  • Encryption of data during transmission
  • Secure servers and infrastructure
  • Firewalls
  • Access controls
  • Authentication controls
  • Audit logging
  • Security monitoring
  • System maintenance and security assessments

Our employees, contractors and service providers are given access to personal information only where access is required for their work or the services they provide.

Although we take reasonable precautions to protect personal data, no internet-connected system or method of electronic storage can be guaranteed to be completely secure.

12. Your Rights

Under UK data protection law, depending on the circumstances, you may have the right to:

  • Request access to your personal data
  • Request correction of inaccurate or incomplete information
  • Request deletion of your personal data
  • Request restriction of processing
  • Object to certain processing
  • Request transfer of your information in a portable format

  • Make a complaint to the Information Commissioner’s Office (“ICO”)

You may also withdraw mobile app permissions, including location and notification permissions, through the settings on your device.

We may ask for information to confirm your identity before responding to a request.

You also have the right to make a complaint to the Information Commissioner’s Office (ICO), the UK’s data protection regulator.

We use cookies and similar technologies on our website where appropriate to:

  • Provide website functionality
  • Remember settings and preferences

14. Mobile Device Permissions

Some features of our mobile applications require access to functionality provided by your mobile device.

Depending on the app and features you use, we may request permission to use features such as:

  • Location
  • Notifications
  • Camera or photographs where required to upload images or documents

We request permissions only where they are required for a relevant app feature.

You can grant, refuse or withdraw these permissions through your mobile device settings. Refusing or withdrawing a permission may prevent the associated feature from working correctly.

15. Third-Party Services and Links

Our website, platform and mobile applications may use or link to services operated by third parties.

These include technology providers such as Google, Firebase, Sentry and Mapbox.

Those organisations may process information in accordance with their own privacy policies when you interact with their services.

Our website may also contain links to third-party websites. We are not responsible for the privacy practices or content of websites that we do not operate, and we encourage you to review their privacy policies.

16. Children’s Privacy

Our services and mobile applications are designed primarily for use by businesses and their authorised users and are not intended for children.

We do not knowingly seek to collect personal information directly from children through Konexit Sync.

If you believe that a child has provided personal information to us in circumstances where they should not have done so, please contact us at:
